Benefits:
You will get
centralized email management for all of your email accounts without necessity to jump beetween email accounts, web-interfaces, POP3/IMAP4/SMTP settings.
You will get more than 7 gigabytes of disk space for free for your emails and even files. By the market specifics, disk space at hosting has big cost. For sure, you will have mailbox limit (disk quota) AND forced to pay for disk space for your emails. Gmail gives you more than 7 gigabytes of disk space for free. And this is normal since Google Gmail and other free Google products is share for their business at another layer.
Limitations
Forwarding will not work with @hotmail.com accounts, @yahoo.com has forwarding as Mail Plus upgrade for price. This could be solved by "Check mail using POP3:" feature in "Accounts and Import" tab of Gmail Settings. You will need to add POP3 email accounts for such emails and Gmail will check your mail and put it into Gmail Inbox instead of forwarding from the other side.
How this works
Everything is based on two technical conditions:
- Gmail allows to send from any@anydomain.com owned by you. To prove ownership you just need to receive verification code to original email;
- original email account should be forwarded to your Gmail account OR POP3 account should be created with "Check mail using POP3:" feature of Gmail Settings.
So anything sent to original email will automatically go to target Gmail account - to your email central. While your Gmail account will allow you to Compose messages and Reply to messages from any of your emails.
What you need to start
You need at least one original email account and Gmail account, but this will be better illustrated, and has more sense if you have two or more original accounts:
- your original account #1, let me say it is sales@bestparfume.eu;
- your original account #2, let me say it is master@contrasso.com;
- your Gmail account, let me say it is john.white777@gmail.com.
STEP 1. Setup Forwarding for sales@bestparfume.eu
There is no exact instruction on this, because web interfaces for email account management could differ. But i can give you recommendations.
Usually it appears that you have to access webmail via mail.bestparfume.eu using your email as login and your password. Once logged in, you need to find link to Settings and next link that has "Forwarding" word. Forwarding setup will look similar to this:
So, basing on this example, you need to:
1. switch forwarding on;
2. type john.white777@gmail.com into addresses field;
3. decide do you need a copy of message in original mailbox;
4. press Update button.
You can send email to sales@bestparfume.eu and next check john.white777@gmail.com to see if your message there. If not, there is something to check with sales@bestparfume.eu forwarding settings.
STEP 2. Setup Forwarding for master@contrasso.com
There is another example: contrasso.com has hosting that does not allow any web interface to access email account settings. So i write to hosting provider and ask to setup forwarding for my master@contrasso.com to john.white777@gmail.com with/without keeping copies of my emails.
Once hosting provider made things up and replied to my email, i can send email to master@contrasso.com and next check my john.white777@gmail.com to see if message there.
STEP 3. Setup Gmail to send messages from sales@bestparfume.eu or master@contrasso.com.
You need to login into your Gmail account (john.white777@gmail.com) and go to Settings (link is at top right). In the settings you need to select Accounts and Import tab. You will see interface similar to this:
Right now you have only John White in your Send As list. Our aim is to add two more accounts there.
To add
sales@bestparfume.eu you need to:
1. click "Send mail from another address" button - you will get a popup
2. type Name and original Email address and press Next Step.
3. select "Send through Gmail (easier to set up)" and press "Next Step"
4. press "Send Verification" button.
4.
If you already forwarded sales@bestparfume.eu to Gmail account, you just need to go to Gmail window (do not close popup yet) and then go to Inbox. It could be necessary to press "Refresh" link couple times.
Otherwise if you getting sales@bestparfume.eu emails into Gmail using POP3 account (see "limitations" paragraph at top), it is better to check original mailbox since there is bigger time necessary while your emails will appear in Gmail.
Here or there, you should get a message from Gmail Team with subject "Gmail Confirmation - Send Mail as sales@bestparfume.eu..." there you will find confirmation code.
Now you just need to copy and paste this confirmation code into apropriate popup field and press "Verify" button. If everything went well popup will just close.
Please go to Gmail window and Settings > Accounts and Import again. From now, you can see Sales <sales@bestparfume.eu> in your "Send mail as:" list.
That's it!
Your original account #2 master@contrasso.com can be added absolutely similar once it is already forwarded to Gmail account.
At Accounts and Import tab you will find also "default" and "make "default" next to added emails - you can choose what one is most often used and make it default.
FINISH. Underline results.
Once everything went well you will have emails for
sales@bestparfume.eu and emails for
master@contrasso.com inside one Gmail account.
And you can send from any of these emails when Composing New Mail or Replying:
It also works if you use POP3/IMAP + SMTP client like Outlook to receive and send messages instead of web interface. You just need to set client up using Gmail "Help" link to get information. And then just write master@contrasso.com into Outlook's "From:" field (you probably need to enable it).
It also will work if you are using mobile device. You need just open http://gmail.com in your device web-browser, login and use Compose or Reply with ability to select email from the list.
